Payment
We are currently an out-of-network provider with all insurance companies. However, this does not mean that your insurance company will not cover some/all services. Payment for evaluations as well as individual and/or group therapy services is provided directly by the family to The Growing Space via check or cash. Once payment is received, families are provided a Paid Invoice with treatment/evaluation service and diagnosis codes. Families are responsible for contacting their insurance providers to learn what services are covered and to submit the appropriate paperwork for reimbursement. Should insurance companies require additional documentation to authorize, justify, and/or extend services, I am happy to provide the necessary paperwork.
Payment for Individual Therapy is expected at the time of each session (unless other arrangements have been established). Payment for Group Therapy is expected in full for each 8-10 week session period. Payment is due no later than your child’s group’s start date. Payment may be made via check, cash, or credit card. Therapy service fees will not be pro-rated for arriving late or leaving early for any scheduled appointment.
Attendance and Cancellations
The policies written below are designed to improve our ability to see all of our clients, and to provide complete, consistent treatment for your child. We hope that these policies will improve our overall service to our clients. Since continuity of care is important to maximize the outcomes of your child’s therapy, we use the following guidelines for your appointments:
LATE SESSIONS:
Please notify your therapist as soon as you know you will be late. Because of scheduling constraints, late arrivals may not be able to be seen, and if seen, the session will end at the regularly scheduled time. If you are late and your therapist needs to see your child for a shorter amount of time, you will be charged for the entire scheduled session.
CANCELATIONS: Non-Emergency
We understand that life happens, and that sometimes your child may not be able to make an appointment. If you need to cancel your child’s appointment, we require that you provide at least 24 hours advance notice of the scheduled appointment time. You will be encouraged to schedule a Make Up session, at your earliest convenience to support continuity of care.
All appointments that are not canceled at least 24 hours in advance of the scheduled appointment will be charged a late cancellation fee as follows: 50% of therapy fee for first occurrence, and 100% of therapy fee for all subsequent cancellations. This fee is not covered by insurance or other third party payers and must be paid in full no later than your next appointment. Patient will not be seen if the late cancellation fee has not been paid.
*In cases of sudden illness or emergency, please call as soon as possible; policies and fees will be assessed/determined on a case-by-case manner.
NO-SHOW:
If your child does not attend his/her scheduled appointment, and you have not called to give any type of notification that the session was going to be missed, you will be considered to be a “No Show” for treatment. Additionally, you will be charged for the full scheduled therapy appointment, which was missed. This fee is not covered by insurance or other third party payers and must be paid in full no later than your next appointment. Patient will not be seen if the late cancellation fee has not been paid. Unfortunately, Make-Ups cannot be used to avoid this charge, but are still encouraged to maintain continuity.
If you have two (2) “No Shows” for scheduled appointments, your child’s therapy will be put on hold, and your child will be added to our waiting list.
CLOSINGS DUE TO INCLEMENT WEATHER:
If The Growing Space, PLLC decides to close the office due to poor weather, we will contact you. We do not necessarily close because schools are closed. If we are open, and you decide to cancel due to weather conditions, you must do so at least 4 hours before your scheduled appointment to avoid a late cancellation fee.
ATTENDANCE:
Your child’s therapy will not be effective unless it is consistent and regular. Therefore, regular attendance at all appointments is important. If two or more appointments within a four-week period are missed and not rescheduled, we will not be able to hold the appointment time and it will be given to another client. In that case, we will place you on our waiting list for therapy. If the regular appointment time is difficult to maintain, please discuss the possibility of a different time or day with your therapist and/or office manager. We will do our best to accommodate your needs. Note that we cannot guarantee an appointment be held for an extended vacation.
Conduct

All children must be accompanied to the therapy center by their parent/caregiver.

It is strongly encouraged that parents/caregivers be present in or nearby the therapy center during the therapy session.

Parents/caregivers may remain in the waiting room within the office suite

Typically, parents/caregivers and siblings are asked to remain outside of the therapy room to reduce distractions and to provide each child his/her right to confidentiality. However, parents/caregivers may be asked to participate in portions of the therapy session.

Parents/caregivers should be present at the end of each session for "wrap up" and payment.

Private bathrooms are located on each floor of the building and may be used by clients, parents/caregivers, and siblings.
